How we collect, use, store and protect the personal data and files you submit through our quote request form, and how to exercise your data protection rights.

Introduction

This Privacy Policy explains how Excelsior Pro Builders ("we", "us", "our") collects, uses, stores and protects personal data submitted through the quote request form on this website (the "Site"), which is also our main point of contact for project enquiries — see How We Work for how a request is handled once received. It applies to visitors and prospective customers who choose to contact us through the Site. By submitting the form, you acknowledge that you have read and understood this policy.

Who is responsible for your data

Excelsior Pro Builders, a construction company based in Morcellement Rey, Pointe-aux-Sables, Black-River, Mauritius, is the data controller responsible for the personal data described in this policy. For any question relating to this policy or to your data, contact us at [email protected].

Information we collect

We only collect information that you choose to provide when submitting a quote request. We do not require you to create an account, and the form does not collect payment information.

a) Contact and project information

Full name, requestor type (individual, business, or government) and, where applicable, the name of your company or organisation; email address; phone number; what best describes your requirement; the service(s) you are enquiring about; project location; project description; and any indicative budget range or preferred timeline you choose to select.

b) Files you choose to upload

You may optionally attach up to five files (PDF, Word documents, or photographs) to illustrate your project — for example, site photographs or plans. Uploading files is entirely optional and is never required to submit a request. Please do not upload a file if it contains information you do not wish to share with us, and please avoid including personal data about third parties (such as other people visible in photographs) unless necessary for your request.

c) Information collected for security purposes

To protect the form from automated abuse, we use Cloudflare Turnstile, a bot-detection service. Turnstile may process limited technical information (such as your IP address and device signals), and may set an essential security cookie, to verify that a submission is genuine. This processing is governed by Cloudflare's own privacy policy. This is the only cookie set on this Site — see "Cookies and similar technologies" below.

d) Anonymous website statistics

We use Cloudflare Web Analytics to understand overall visitor numbers, popular pages and traffic sources. This tool does not use cookies and does not collect personal data: it reports aggregate counts only and cannot be used to identify or single out an individual visitor. Separately, we record an anonymous count of clicks on the "Request a Quote" buttons across the Site, for the same statistical purpose — this count is not linked to any visitor identity, IP address or device. If you submit the quote request form, the page you submitted it from is recorded alongside your request (so we can see which pages generate enquiries); unlike the anonymous statistics above, this is part of your quote request record and is covered by the rest of this policy. These statistics are visible only to our own authorised administrators — see "Who we share it with" below — and are never sold or used for advertising.

e) The chat assistant

This Site offers an optional AI chat assistant (accessible via the chat bubble) to answer questions about our services and how we work. If you choose to use it, the messages you type are sent to Anthropic, our AI service provider, solely to generate a reply — we do not require you to use the chat assistant, and no personal data is needed to use it unless you choose to include some in your own message. We do not store chat conversations on our servers: a conversation exists only in your browser for the duration of your visit and is not retained by us once you close or refresh the page. If, during a conversation, you choose to send your details onward to request a quotation, that information becomes part of your quote request and is covered by the rest of this policy from that point on.

Separately, we record a small number of anonymous usage counters for this feature — whether the chat was opened, a message was sent, a suggested next step was shown, and whether it was clicked — together with, only when the assistant identifies a concrete project need, which general type of work it relates to (for example, waterproofing or tiling). These counters are never linked to the content of your message, to you individually, or to any visitor identity; they are used for the same statistical purpose as, and kept for the same period as, the other anonymous statistics described in "Anonymous website statistics" above.

Why we use this information

We use the information you submit to: review and assess your project request; contact you about it; prepare and follow up on a quotation; and, where a project proceeds, deliver the agreed work in line with the approach described on our How We Work page. We do not carry out automated decision-making or profiling based on your data, and we do not send marketing or newsletter communications.

The legal basis for processing your project enquiry is your consent, given by ticking the consent box when submitting the form, and — for the anti-spam checks described above — our legitimate interest in keeping the Site secure and free of abuse. The anonymous website statistics described above do not constitute personal data (they cannot identify you), so they fall outside this consent-based processing and are used on the basis of our legitimate interest in understanding how the Site is used. The chat assistant is used on the basis of our legitimate interest in providing this optional feature to visitors who actively choose to use it — no personal data is processed unless you include some in your own message.

Who we share it with

Submitted requests, including any attached files, are reviewed by the Excelsior Pro Builders team responsible for handling quote requests. We do not sell your information, and we do not share it with third parties for their own marketing purposes.

We use the following service providers ("processors") to operate the form and store your data on our behalf. Each only accesses data as needed to provide its service to us — see also the "Website hosting" section of our Legal Notice:

Where your data is stored

Structured request details (such as your name and message) are stored in a database, and any uploaded files are stored separately in a private file storage bucket that is never publicly accessible — files can only be opened by an authenticated member of the Excelsior Pro Builders team, using a time-limited access link generated on request. As our service providers operate international infrastructure, your data may be processed on servers located outside Mauritius; where this occurs, we rely on our providers' contractual and technical safeguards to protect your data to a standard consistent with this policy.

How long we keep it

Quote request details and any attached files are kept only as long as needed to assess your request and, where a project proceeds, for the duration of the business relationship and any period required to meet our legal or accounting obligations afterwards. Where a request does not lead to a project, we aim to delete the associated files and request details within 12 months of the request being closed. You may ask us to delete your information earlier at any time — see "Your rights" below.

The anonymous website statistics described in "Anonymous website statistics" above are kept for up to 12 months, after which they are deleted; because they contain no personal data, they are not linked to, and do not extend the retention of, any individual's quote request.

Chat assistant conversations, described in "The chat assistant" above, are not stored by us at all — a conversation exists only in your browser and is gone once you close or refresh the page. The separate anonymous usage counters described in that section are kept for up to 12 months, on the same basis as the anonymous website statistics above.

How we protect your information

Form submissions are transmitted over an encrypted (HTTPS) connection. Uploaded files are stored in a private location that is not directly reachable from the browser and is never publicly listed or indexed; only an authenticated member of our team can generate a short-lived link to view a specific file. Structured request data is likewise restricted to authenticated team access. No method of transmission or storage is completely infallible, but we take reasonable technical and organisational measures to protect your information against unauthorised access, loss, or misuse.

Your rights

Subject to applicable law, including the Mauritius Data Protection Act 2017, you may ask us at any time to:

To exercise any of these rights, email [email protected]. We will respond within a reasonable timeframe. If you are not satisfied with our response, you may lodge a complaint with the Mauritius Data Protection Office.

Where our processing of your information relies on your consent, you may withdraw it at any time by emailing [email protected] and asking us to stop. Withdrawing consent does not affect the lawfulness of any processing carried out before your request, and does not affect processing that is necessary for us to complete a project you have already asked us to quote or carry out. Once we have actioned your request, we will stop using your information for the purpose you have withdrawn consent for and, where applicable, proceed to delete it in line with "How long we keep it" above.

Cookies and similar technologies

This Site sets one cookie: the essential security check provided by Cloudflare Turnstile on our quote request form (see "Information we collect" above), which exists to prevent automated abuse of the form rather than to track your browsing. We use no advertising cookies and no non-essential cookies of any kind.

The website-traffic statistics described in "Anonymous website statistics" above (Cloudflare Web Analytics, and our own anonymous count of "Request a Quote" clicks) do not use cookies and do not read or store any identifier on your device — they are excluded from most legal definitions of a tracking cookie for this reason, and no cookie-consent banner is shown for them. Because Turnstile's cookie is strictly necessary for the security of the form, it does not require a consent banner either. If a tool that does require cookie-based consent is added in future (for example, advertising or marketing cookies), this policy and a consent banner will be put in place before it is activated.

Children's privacy

The Site and its quote request form are intended for use by adults seeking construction services and are not directed at children. We do not knowingly collect personal data from children.

Changes to this policy

We may update this policy from time to time, for example to reflect changes to the form or to our service providers. The "Last updated" date at the top of this page reflects the most recent revision. Significant changes will be reflected on this page before they take effect.
